Booking Information

Holiday Accommodation - Terms and Conditions

 

Bookings

Full rental fee and bond monies are payable by the guest/s in advance and before the keys to the property are released. All bookings are subject to negotiation and approval with owners. A booking may be cancelled or altered by the owner/agent at any time. in the event of this occuring we will endeavour to find alternative accommodation. Mansfield Holiday Letting cannot be held responsible for the action taken by the owner, third party or unforseen events occurring beyond our control. it is the responsibility of the guest to ensure that the information on your confirmation form is correct. This includes dates booked, amount charged and guest numbers.

Payment of bookings

To secure a reservation, 50% of the tariff and all admin fees are required within 5 working days of making the pending booking. Should your deposit not be paid by this time, the booking may be automatically cancelled. If a booking is made within a month of the booking date, the full amount is required. balance is to be paid prior to arrival. We accept credit card (Visa, Master Card) and EFT. Please note credit card payments incur a 2% surcharge. All bookings incur a booking fee.

Booking unsight unseen

If you book a property over the phone or via photos on the internet without viewing the property in person, we cannot be held responsible for any changes to the property or misconception of the discription. While every effort is taken to provide correct information, inventories may change and the owner/agent takes no responsibility for this.

Cancellation fees

Cancellation policy is applicable to whole or part cancellation of bookings.

A booking cancelled 6 months or more before commencement of booking: Administration fee $ 50

A booking cancelled 3 months or more before booking commencement: fee retained is 10% of total rental cancelled, unless a replacement booking is found, plus an administration fee.

A booking cancelled 1 month or more before commencement: fee retained is 50% of total rental cancelled unless a replacement booking is found, plus an administration fee.

A booking cancelled less than 1 month before commencement: fee retained will be all the total rent paid. If a replacement booking is found, only the administration fee will be retained.

Security Bond

A security bond is held upon booking. Credit card details are held as the bond voucher for the property and only processed if necessary. Or in the case of cash bonds, payment will be refunded within 14 days of departure, subject to the property being left in a clean condition with no damage. No keys will be issued until such details have been taken or a cash security bond has been paid.

Maximum guest numbers

The number of guests staying at the rented premises must not exceed the number of beds provided or the number agreed to with the agent/owner at the time of booking. Severe penalties will apply for additional guests.

Weddings, Events, Etc

Properties we manage are to be used purely for holiday accommodation unless otherwise authorised in writting.

A charge of $ 2500 will be incurred should any type of function be held in the property without prior written consent from Mansfield Holiday Letting.

Cleaning

We ask that the property be treated as your own and left as you found it. It is the guests responsibility to clean the BBQ ( $35 fee if left uncleaned ). Any excess cleaning or rubbish removal will be deducted from your bond.

Arrival and departure

Check in is 2.00 pm and check out is 10.00 am on the day of departure unless written permission is granted for alternative times.

Keys

Keys are to be collected and dropped off at our office at 32 High St, Mansfield. Office hours are 9am to 5 pm Monday to Friday. If you are arriving or departing outside of office hours please call to inform us and the keys will be left with the attendants at the Caltex Service Centre next door to our office. Contact our staff to confirm Caltex trading hours as they do vary throughout the year, A fee will be charged if guests arrive after Caltex has closed and a Mansfield Holiday Letting staff member is called out to arrange keys/compendium. Fees will apply if the keys/compendium are not returned after your stay.

Smoking

All properties are strictly non-smoking indoors without exception.

Damage

As a guest, you are responsible for all damages and losses incurred during the term of your occupancy. all damages, breakages and losses must be replaced, paid for or made good to the satisfaction of the agent. This includes replacing/recutting lost keys.

Pets

No animals are permitted in any of our properties, unless the property is deemed pet friendly by the owner/agent and prior written approval has been granted by Mansfield Holiday Letting.

All bond monies will be automatically forfeited and you will be required to vacate the premises immediately if pets are found on the property without prior consent.

Please contact Mansfield Holiday Letting before bringing any pets to properties, refer to terms and conditions section Doggy do's and doggy don't for rulings.

Personal property

No responsibility will be taken by the agent/owner for guests' possessions left at the property. If any items are left and need to be returned, a self addressed postage bag is to be sent to our office for items to be retrieved.

Indemnity

1. The guest:

a) use and occupy the premises at his/her own risk; and

b) Indemnifies the owner against any liability, which may attach to the owner as a result of injury or loss being personal or proprietary suffered by any person where any injury, damage or loss has been contributed to or caused by any act or occasion of the guest or his/her agent.

Disclaimer

Mansfield Holiday Letting does not accept liability in contract or tort for any injury, loss, delay, additional expense or inconvenience caused directly or indirectly by the force majeure or other events which are beyond our control or which are not preventable by reasonable diligence on our part including, but not limited to war, civil disturbances, fire, floods, extreme weather, acts of god, acts of government or of any other authorities, accidents, theft to or failure of machinery or equipment or industrial action. For the avoidance of doubt, the cancellation policy applies to cancellations by reason directly or indirectly related to events which are beyond our control including warnings issued by the authorities.

Privacy

All personally identifying information that you provide voluntarily (e.g. name, address and phone numbers) will only be used by Mansfield Holiday letting to respond to your enquiry and to provide our services and to offer you other products or services that we believe may interest you. Mansfield Holiday Letting will not sell, trade, share or licence the information you provide to any other entity.

Call out fees

Should there be a need for one of our staff to come out to the property for reasons deemed unnecessary by Mansfield Holiday Letting a call out fee will apply.

Repairs

I/We agree to permit all repair and/or service personnel to enter the property for the purpose of conducting any repair, service or maintenance deemed necessary by the owner/agent.

Water Usage

With water restrictions firmly in place for the district there is strictly no use of water outside for purposes such as filling swimming pools, washing cars or boats and/or watering gardens etc. Most properties are on tank water so please use water in a conservative manner.

Cleaning

We ask that you leave the property in a reasonable state of cleanliness. Please leave the property how you find it, neat and tidy. a certain amount of time is allocated to the cleaner, ensuring the house is welcoming for the next guests. If extra cleaning is required / found to be necessary, the cost will be deducted from your bond.

We appreciate the following items to be completed before you return the keys to our office:

Vacuum/mop floors

Wipe over benches

Dishes are done

Wipe out the fridge

Turn off all the lights, appliances and close curtains

Check that all windows and doors are locked

Take the rubbish to the bin or pick up stations.

Telephone and internet services

I/We acknowledge that unless otherwise states, telephone and internet access is not available at the holiday accommodation properties.

Sales inspections

If the holiday accommodation is currently listed for sale, then l/we agree to permit the agent to conduct inspections with prospective purchasers upon reasonable notice

Doggie do's and doggy don't

All dog droppings must be removed from the premisis prior to departure

Your dog must not under any circumstaces without prior consent be taken inside the premises.

A fee of $50 is charged for properties where pet are in occupancy, payable with the balance of your accommodation.

The owner of the dog is liable for any damage caused to the premises or resulting loss suffered by the property owner.

It is the occupiers responsability to ensure the dog is suitably restrained within the yard of the premises

A barking dog or aggressive dog will not be tolerated under any circumstances and may result in the termination of your booking.
